1. About These Clinical Terms
These operational and clinical terms apply to all bookings, clinical assessments, treatment plans, product purchases, and payments conducted at The Dermal Clinic. By scheduling or attending an appointment, you agree to these protocols. Our practice adheres to a structured, evidence-informed approach to dermal health, requiring comprehensive informed consent and a focus on physiological responses driven by consistent care. Please review these terms prior to your initial consultation.
2. Scope of Practice and Clinic Identity
The Dermal Clinic is a Registered Nurse-led clinical facility. All dermal interventions are performed by registered nurses and qualified dermal clinicians operating strictly within their professional scope of practice and in alignment with manufacturer protocols for all medical devices used.
We do not provide cosmetic injectable services.
Our clinical assessments and referral pathways do not constitute a formal medical diagnosis.
Should a presenting condition fall outside our clinical scope, we will facilitate a referral to your General Practitioner, a Dermatologist, or another appropriate medical specialist.
3. Initial Clinical Skin Assessment
A comprehensive Skin Assessment is the mandatory starting point for all new patients. This consultation allows our practitioners to thoroughly evaluate your cutaneous health, medical history, and clinical objectives to formulate an evidence-informed treatment plan, provided intervention is deemed clinically appropriate.
The consultation fee is payable at the time of booking or upon presentation at your appointment.
Completing an assessment does not guarantee a treatment will be provided. Not all individuals are suitable candidates for specific interventions, and our practitioners will advise you accordingly.
We reserve the right to decline or postpone any procedure if clinical indicators suggest it is contraindicated at that time.
4. Appointments and Bookings
Consultations and treatments can be scheduled via our online booking platform, by telephone, or via direct messaging.
Individuals must be 18 years of age or older to initiate a booking.
Patients under 18 years of age will not receive treatment without prior clinical approval from a Dermal Clinic practitioner and the physical presence of a parent or legal guardian during the consultation.
You are required to provide accurate contact information and a comprehensive medical history at the time of booking.
Appointments are considered confirmed only upon receipt of a confirmation message.
A booking deposit may be required for specific clinical services, which will be credited toward the total cost of your treatment plan.
5. Cancellations, Rescheduling, and Late Arrivals
Clinical time and resources, including extended appointment durations and specialized medical equipment preparation, are reserved specifically for your care.
We require a minimum of 48 hours' notice for any cancellation or request to reschedule.
Alterations made outside of this notice period, or failure to attend a scheduled appointment, may result in a cancellation fee equating to up to 50% of the booked service value. For treatments secured with a deposit or booked as part of a prepaid course, the deposit will be forfeited.
Should you arrive more than 15 minutes past your scheduled time, we may be required to condense or reschedule your procedure to maintain strict clinical standards. The full service fee may still be applicable.
We endeavor to exercise reasonable discretion in cases of documented medical emergencies or genuine illness; please communicate with the clinic at your earliest opportunity.
In the event that our clinic must cancel or reschedule your appointment, we will notify you promptly to arrange an alternative time at no additional charge.
6. Financial Policy
All fees are quoted in Australian Dollars (AUD) and are inclusive of GST where applicable. Current service fees are maintained on our official website and booking portal. Pricing is subject to operational adjustments, with the rate at the time of your booking remaining applicable.
Payment in full is required at the time of service provision unless a prior written agreement has been established.
Accepted payment methods include card, cash, bank transfer, and other specified checkout options.
Accounts remaining in arrears may be subject to follow-up communications, and the clinic reserves the right to suspend future bookings until outstanding balances are resolved.
Treatment plan quotes are clinical estimates based on your initial presentation; final costs may fluctuate if there are alterations to your skin condition, the anatomical area being treated, or the recommended therapeutic approach.
7. Clinical Treatment Courses
Many dermal remodeling interventions achieve optimal physiological responses through a structured course of treatments. The advised number of sessions and clinical intervals serve as clinical guidance and will vary based on individual biological responses.
Package pricing is valid only when terms of payment are met as agreed upon at the time of purchase.
Treatment courses are assigned to the specified patient and are strictly non-transferable.
Prepaid courses hold an expiry period as specified at the time of purchase.
Should your clinical presentation necessitate an adjustment to the treatment plan, our nursing team will modify the approach and may recommend an alternative modality.
Unused clinical sessions cannot be redeemed for cash, except where mandated by applicable legislation.
Adherence to the recommended intervals is a critical component of the clinical protocol; deviations may impact the physiological outcome.
8. Informed Consent and Medical Disclosures
Prior to any intervention, you will be required to complete a comprehensive health questionnaire and provide written informed consent detailing the specific modality.
You are obligated to:
Disclose a full and accurate medical history, inclusive of underlying conditions, current pharmacological interventions, allergies, dermatological history, recent ultraviolet (UV) exposure, use of tanning agents, prior aesthetic or dermal interventions, and current pregnancy or lactation status.
Notify your practitioner of any alterations to your health status or medication regimen between clinical visits.
Strictly adhere to all pre-treatment clinical directives, notably UV avoidance and the cessation of contraindicated topical agents.
The clinic reserves the right to postpone or withhold treatment if provided information is deemed incomplete or inaccurate. We accept no liability for adverse events stemming from undisclosed medical information.
9. Physiological Responses and Outcomes
Clinical interventions interact directly with your unique cellular biology, meaning physiological responses will inherently vary among individuals. Outcomes are highly dependent on your Fitzpatrick skin type, chronological age, systemic health, lifestyle factors, UV exposure, adherence to prescribed homecare directives, and compliance with the clinical plan.
We do not offer guarantees regarding any specific clinical outcome or result.
Chronic dermatological conditions, such as rosacea and melasma, require ongoing clinical management rather than definitive resolution, and these conditions may present recurrently.
Additional interventions may be clinically indicated to manage your specific concerns and will be billed at standard rates.
Any clinical photography displayed serves solely as an example of potential physiological changes; individual responses will vary.
10. Inherent Risks, Recovery, and Aftercare
All dermal interventions involve inherent clinical risks. Potential adverse events may include erythema, edema, post-inflammatory hyperpigmentation or hypopigmentation, scarring, localized infection, blistering, thermal injury, and contact dermatitis. The specific risks and anticipated recovery periods associated with your modality will be thoroughly detailed during your assessment and within your informed consent documentation.
Comprehensive aftercare protocols will be provided both verbally and in writing. Strict compliance is your responsibility and is a critical determinant in tissue repair and healing.
Application of a daily broad-spectrum SPF and rigorous UV avoidance are non-negotiable requirements following the majority of our clinical interventions.
You must contact the clinic immediately if you present with unexpected clinical signs, including escalating pain, vesiculation, symptoms of infection, or abnormal wound healing. In the event of severe or emergent symptoms, immediate medical attention must be sought.
Scheduled clinical reviews are a fundamental aspect of your ongoing care, and attendance is expected.
11. Clinical Complications and Management
Should you have any clinical concerns post-treatment, contact the clinic at the earliest opportunity to facilitate a prompt dermatological review. We will evaluate the presentation and recommend an evidence-informed management plan, which may necessitate a formal referral to your General Practitioner or a specialized medical practitioner.
Financial responsibility for medical care provided by external practitioners is not borne by The Dermal Clinic unless explicitly agreed upon in writing, except where statutory obligations apply.
12. Melanocytic Surveillance (Mole Mapping) and Skin Examinations
Our Melanocytic Surveillance and skin assessment services are designed for objective monitoring. While these modalities support early detection, they do not substitute for comprehensive diagnostic examinations performed by a specialized medical practitioner.
If an atypical lesion or area of concern is identified, we will facilitate a direct referral to your General Practitioner or a relevant medical specialist for formal diagnosis and ongoing management.
Clinical imaging and analytical reviews are based on the presentation at the specific time of the appointment. As no imaging modality is infallible, any morphological changes observed between appointments must be reported to a medical doctor immediately.
Specific referral requirements, such as a formal GP referral prior to Melanocytic Surveillance, will apply as outlined during the booking process.
13. Refunds and Statutory Rights
We exercise rigorous clinical judgment when prescribing treatment protocols and are committed to addressing any concerns regarding your care.
Due to the biological variability in patient responses, fees for clinical services rendered are generally non-refundable, as specific physiological outcomes cannot be guaranteed.
If you assess that a clinical service was not executed with appropriate professional care and skill, please notify the clinic within 14 days. We will review the clinical notes and, where clinically appropriate, propose a resolution such as a follow-up assessment, a modification to the treatment plan, or a partial or full refund.
Retail topical formulations may be returned within 14 days provided they remain unopened, unused, in their original packaging, and are accompanied by proof of purchase. For adherence to strict hygiene and infection control standards, opened formulations are strictly non-returnable unless deemed clinically faulty.
No provision within these terms is intended to restrict or supersede your rights under the Australian Consumer Law.
14. Prescribed Homecare Formulations
Topical homecare directives are an integral component of your clinical treatment plan. Adherence to the prescribed application instructions is required. We dispense evidence-based dermatological formulations tailored specifically to the findings of your clinical assessment.
In the event of an adverse reaction to a prescribed formulation, cease application immediately and contact the clinic. Product efficacy claims and usage directives are established by the manufacturer.
15. Clinic Vouchers
Purchased vouchers maintain validity for a specified number of months from the date of issue, in strict accordance with Queensland legislation.
Vouchers may be redeemed for clinical services and prescribed products up to the designated value but are not exchangeable for currency.
Presentation of a voucher does not bypass clinical protocols; the recipient must undergo a full clinical assessment, complete a medical history questionnaire, provide informed consent, and be deemed medically suitable for the proposed intervention.
The clinic accepts no liability for the replacement of misplaced or stolen vouchers.
16. Clinical Photography and Documentation
Standardized clinical photography and advanced skin imaging systems are utilized to document your baseline presentation, formulate clinical plans, and objectively monitor physiological changes.
These visual records are a mandatory component of your legal clinical file and are maintained under strict security protocols.
We will not utilize your clinical images or case details for marketing, website publication, or social media distribution without your explicit, documented consent. You reserve the right to decline marketing usage without it impacting the standard of your clinical care.
Consent for the use of clinical imagery in marketing may be revoked at any time via direct communication with the clinic.
17. Privacy and Medical Records
We systematically collect personal and medical data to facilitate comprehensive clinical care, manage administrative functions, and fulfill our strict legal obligations. All data is processed in strict compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Patient records are stored in secure, encrypted environments and retained for the minimum durations mandated by statutory law.
We do not engage in the sale of patient data. Information is disseminated solely for the purpose of coordinating your medical care, with your explicit consent, or when legally compelled or permitted to do so.
You hold the right to request access to, or modification of, your clinical records by formally contacting the clinic.
Upon your agreement, the clinic may issue appointment reminders and essential clinical follow-ups via SMS or email. Promotional communications are distributed strictly on an opt-in basis, with an unsubscribe function permanently available.
18. Clinic Environment and Conduct
We maintain a professional clinical environment and require mutual respect between patients and our clinical team. We reserve the right to terminate an intervention, refuse future service, or mandate departure from the premises if an individual exhibits abusive, threatening, or otherwise inappropriate conduct. Full service fees may still be enforced in such instances.
Patients presenting with symptoms of a communicable illness must not attend the clinic. Please contact us to rearrange your appointment.
Individuals are responsible for the security of their personal items. For strict adherence to clinical health and safety standards, minors and accompanying support persons may be restricted from entering active treatment areas. Please clarify these requirements during the booking process.
19. Limitation of Liability
Our clinical team executes all services with professional diligence and skill. To the maximum extent permitted by governing law, The Dermal Clinic accepts no liability for adverse outcomes or damages resulting from:
Non-disclosure or falsification of medical history or current pharmacological interventions.
Non-compliance with mandated pre-treatment or post-treatment clinical protocols.
Inherent and documented physiological risks associated with an intervention that manifest despite the application of appropriate clinical care.
External circumstances falling beyond the clinic's reasonable control.
No element of these terms is intended to exclude, restrict, or modify any statutory right or remedy available under the Australian Consumer Law. Where legal liability cannot be entirely excluded, it is strictly limited, where permissible by law, to the re-performance of the clinical service or reimbursement of the costs associated with its re-performance.
20. Formal Feedback and Dispute Resolution
We are committed to continuous clinical improvement and welcome patient feedback. Should you have a clinical or operational concern, we request that you contact us initially via admin@thedermalclinic.au or 0468 992 211 to facilitate a direct internal review.
If our internal resolution process does not yield a satisfactory outcome, you reserve the right to escalate your concern to the Office of the Health Ombudsman (Queensland) or the Australian Health Practitioner Regulation Agency (AHPRA).
21. Protocol Amendments
The clinic reserves the right to amend these clinical terms periodically. The iteration published on our official website is applicable to all bookings initiated post-update. Significant operational or clinical adjustments will be communicated to patients where practically feasible.
22. Jurisdiction
These terms are structured and governed by the legislative frameworks of Queensland, Australia. Any formal dispute is subject to the non-exclusive jurisdiction of the Queensland judicial system.
